Position Overview

The Development & Alumni Engagement team within the School of Public Policy is currently seeking a Full-time Temporary Relief Donor Relations Advisor for approximately 1 year.

The Development Office exists for the mutual benefit of the University of Calgary and its stakeholders and coordinates donations of gifts and gifts-in-kind. The Office is made up of an active, community-oriented team that enhances development (fundraising) efforts in support of the Academic Plan and Business Plan.

The University of Calgary is moving into the public phase of a $1.3B Comprehensive Campaign. This is a university-wide initiative designed to significantly increase philanthropic revenue to the University. It is the single most ambitious philanthropic program ever undertaken by the University and among the largest comprehensive fundraising campaigns in Canadian history.

The Donor Relations Advisor will report to the Director of Development at The School of Public Policy. As the Donor Relations Advisor you will also work with the Associate Director of Development, be responsible for designing and implementing the short and long term donor relations strategy for The School of Public Policy.

The position requires high-level discretionary decision-making, strategic planning, and the ability to manage multiple tasks to meet deadlines while addressing constantly shifting priorities. The incumbent will work in a fast paced environment and, as a result, is expected to work with limited direction to set priorities and deadlines. The position is fully responsible for the delivery of service to donors and involves constant multi-tasking and weighing of situations with full understanding of the impact of decisions.

The incumbent must demonstrate strong communication skills and be comfortable dealing with diverse constituents including students, faculty, staff, senior administration, representatives from government, and members of the local and international business community. The position requires working with confidential and sensitive issues relating to the donor philanthropy requiring excellent judgment and an ability to develop and nurture key relationships.

This position works Monday to Friday, 8:30 A.M. to 4:30 P.M, 7 hours per day (35 hours per week). Due to constantly shifting priorities evening and weekend extra hours and flexibility is sometimes required.



Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Generate, compile and analyze appropriate data and content for internal and external communications, meetings and presentations, and collateral materials for prospects, donors, alumni, key community stakeholders and members of business community
  • Develop and manage annual stewardship reporting process for the SPP development team including, but not limited to:
    • Requesting information from program areas, including all chairs and professorships, related to overall outcomes resulting from the donor investment made by showing them how they have invested their money
    • Reconciling financials related to revenue created by the gift and expenses incurred in its use by generating, complying and analyzing the data within the database and working with Finance Services
    • Writing and formatting all annual donor stewardship reports for use by the SPP Development Team. These reports are delivered in person if possible and provide a formal update to donors on the University's financial management of their philanthropic funds and resulting outcomes resulting from the donor's investment
    • Creating gift reports and presentations, writing stewardship reports, cover letters, letters of thanks, and preparing collateral materials
    • Preparing and executing short and long term donor stewardship plans
  • Apply best practices to manage multiple donor stewardship reporting projects, including endowment reporting, Principal Gifts reporting, Student Awards reporting and other gift and project reporting, as required
  • Compile and analyze all information related to SPP student awards including number of awards, donor names, recipient names, award amounts, donor funding, and supporting documentation
  • Interpret sophisticated data queries and reports from Raiser's Edge
  • Ensure all appropriate donor records are maintained within the guidelines of FOIP by being educated on current practices and auditing the data
  • Manage implementation of agreed upon commitments that arise from gift agreements, donor communications and other fundraising work through collaboration with the SPP communications and events teams
  • Advise faculty and staff on donor relations by disseminating information and orienting in regard to development processes
  • Preparing and executing short and long term donor stewardship plans
  • Provide administrative support to the Director of Development and Associate Director of Development
  • Preparation of comprehensive meeting brief, utilizing donor profiles, to advance donor relationships and contribute to the advancement of the SPP development program
  • Plan, manage and lead donor recognition and stewardship practices for the SPP development program

Qualifications / Requirements:

  • 6 to 8 years of progressive work experience with a minimum of 4 years fund raising experience or related work experience and the completion of post-secondary education (an equivalent combination of skills and experience will be considered)
  • Able to work well under pressure, making key decisions (both on behalf of the Director and in other matters) and demonstrating good judgment in a fast-paced environment with many conflicting priorities, meeting internal and external deadlines
  • Proven excellent organizational, analytical and problem solving skills are required
  • Excellent communication (both verbal and written), listening skills, and organizational skills
  • Project management experience and familiarity with PMBOK best practices an asset
  • Editorial skills and experiences are also an asset
  • Proven ability to use discretion with confidential material, a high level of tact and professionalism and a strong work ethic are required
  • Must be able to remain calm in demanding situations, and appropriately deal with stress resulting from these situations
  • Sound judgment and decision-making capabilities, and the ability to work both independently and collaboratively as required
  • Must be open to learning and development, and be willing to accept new challenges and assignments
  • Ability to combine people and resources in a manner that will achieve objectives within established limit
  • Excellent understanding and commitment to an academic environment, innovation, ability to motivate others, and a passion for what you do
  • Proven advanced skills in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Internet skills etc.
