Position Overview

Development & Alumni Engagement  in conjunction with the Haskayne School of Business is currently seeking a Full-time Regular Fundraising Coordinator.

Energize: the Campaign for Eyes High is a university-wide initiative designed to significantly increase philanthropic revenue to the University. It is the single most ambitious philanthropic program ever undertaken by the University and among the largest comprehensive fundraising campaigns in Canadian history.

The Haskayne School of Business (HSB) was founded at the University of Calgary in 1967, and was named in honour of Richard F. Haskayne, OC, AOE, FCA in 2002. The business school has approximately 3,600 full- and part-time students enrolled in Bachelor, Master, Doctorate, and Executive Education Programs, and stays connected with its 24,000 alumni in 80 countries worldwide.

The Haskayne School's vision is to be internationally recognized for business education, research and outreach in the core areas that are distinctive to Calgary and Alberta: ethical leadership, entrepreneurship and energy. To fund this vision, the school is seeking significant philanthropic support from the community.

This position reports to the Director of Development in the Haskayne School of Business. The position works closely with other members of the HSB Development and Alumni Engagement Team, Central  Office, and key HSB staff and faculty members, including the Dean. The Fundraising Coordinator supports the overall goal of this portfolio by ensuring the accurate and timely capture of relevant information on current donors and prospects that will help guide decision-making and generate gifts. Early morning, evening and weekend hours are, on occasion, required.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Organize strategy for and secure key meetings with high-level internal and external stakeholders; this may include the creation of briefing notes and presentations
  • Process donations and donor designations in accordance with development office procedures - submission of Gift Designation Forms, processing of Gift Agreements, Checklists and Terms of Reference
  • Ensure accurate updating of Prospect Management module in Raiser's Edge in a timely manner
  • Maintenance of prospect records including, verifying corporate and foundation executive officers, directors and contacts within, track and maintain information regarding parent and subsidiary companies
  • Sound financial management of donor designations, requiring the establishment of suspense accounts and collaboration with university financial services, faculty finance staff, student awards and financial aid and the development office treasury to allocate money to correct accounts
  • Code records of engagement from team briefing and contact notes into the database in appropriate fields
  • Create complex data queries and provide sound analysis of data queries
  • Extract relevant information from contact reports to create, code and update records of engagement appropriately
  • Conduct preliminary research on identified prospects and donors including biographical and philanthropic interest and code the information on the prospect record for use by development staff
  • Maintain up-to-date documentation on prospect and donor record, ensuring that it is comprehensive, current and user-friendly, including managing and updating all biographical information
  • Support the execution of the HSB portfolio development stewardship program, including thank you letters as well as the execution of donor recognition events, naming dedications and launches of initiatives
  • Manage pipeline reports
  • Administer/take minutes for internal/team meetings

Qualifications / Requirements:

  • University degree or related education preferred
  • Minimum of 2 years directly related experience, preferably in a fundraising or post-secondary educational setting
  • 2 to 3 years of progressive client and/or customer service experience in an organization
  • Excellent computer skills including database/information management with particular experience using Raiser's Edge and MS Office applications
  • Familiarity with the principal tools and techniques for development moves management
  • Experience in higher level data functions including queries, exports, imports and mail merge
  • Strong support of gift development process through accurate and thorough gift documentation
  • Strong organizational and time-management skills, attention to detail and accuracy
  • Ability to multi-task, prioritize and meet deadlines
  • Superior interpersonal communication skills, both verbal and written; strong business writing skills are required; good listening and interpretive skills
  • Demonstrated professionalism, tact and maturity in handling highly sensitive and confidential information ethically and with discretion
  • Ability to work well under pressure, in an environment with daily deadlines
  • Ability to work both independently and as part of a team and to work effectively in a large, complex, dynamic and sophisticated organization
  • Knowledge of basic office equipment such as photocopiers, fax machines and printers
  • Ability to remain positive and confident under pressure
  • Ability to build good relationships with clients and team members
  • Must have the ability to deal with frequent interruptions in a cooperative and professional manner
  • A high level of knowledge and understanding of University policy and procedures would be a definite asset
  • Must be open to learning and development, and be willing to accept new challenges and assignments
  • Understand and maintain confidentiality, demonstrating diplomacy and good judgment
  • Demonstrated ability to exercise judgment within established guidelines
  • Experience in a fund development office is an asset; knowledge in development practices and the processes and functions of the units within, also the systems utilized for day to day business; Raiser's Edge, Net Community, Development Request System and SharePoint will be an asset
  • Ability to manage and deliver assigned special projects on time
