Position Overview

Development & Alumni Engagement is currently seeking a Full-time Temporary Relief Stewardship Advisor for approximately 1 year.

To this end, the Stewardship team is looking for a passionate, dedicated professional committed to sparking meaningful change right here, right now.

Reporting to the Associate Director, Stewardship, the Advisor will join in the portfolio of the Vice-President (Development and Alumni Engagement), created to engage donor and alumni in meaningful stewardship strategies that inspire continued philanthropy and deepening relationships. The Advisor is responsible for the specialization, analysis, communication, implementation, execution and advancement of the institution's donor stewardship program. This position is committed to the advancement of the stewardship strategy and working collaboratively with University leaders and front-line fundraisers. The Advisor annually reviews, develops and delivers highly customized stewardship plans and reports for an extensive portfolio of donors to the University. The Advisor ensures that the technological, operational and collateral requirements of the stewardship program are met and seeks to improve operations and reporting. This includes streamlining and enhancing the gift acknowledgement process and donor reporting packages. Together the team will create the best stewardship program at a post-secondary institution in Canada.

 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Create customized, multi-year stewardship plans for principal gift donors
  • Annually audit stewardship for faculties, Student Awards, Legacy, Matched Gifts, Endowments and Expendable funds - all based on gifts from individuals, corporations and foundations
  • Manage stewardship reporting process including writing, interviewing faculty, students, and alumni and identifying appropriate donors to steward based on the value and growth of their gift or endowment
  • Research, write, edit and format stewardship materials including principal giving stewardship reports
  • Consult, collaborate and provide stewardship advice to support campaign, institutional and faculty fundraising plans
  • Work collaboratively with colleagues throughout Development and Alumni Engagement and various faculty partners to share, collaborate and ensure consistency and efficiency to support campaign messaging and positioning
  • Develop standardized stewardship checklists and processes, and manage their implementation and execution across campus, including finalizing, printing and mailing stewardship reports where necessary
  • Liaise with and track correspondence with key partner units including Individual Giving, Principal Gifts, Faculties, Gift Compliance, Student Awards and Financial Aid, the Faculty of Graduate Studies and other relevant areas
  • Record data, activities and reports in the Raiser's Edge database and seek to improve methods for linking, tracking and maintaining this information
  • Use Raiser's Edge, SharePoint and Tableau to track, analyze and evaluate effectiveness of stewardship activities and stewardship touch points
  • Proactively conduct research and analysis related to strategic initiatives, best practices, trends and new developments with regards to donor stewardship and recognition; as a member of the Stewardship team, assess, plan, recommend and implement stewardship strategies in support of the university, and identify opportunities to promote initiatives and activities that enhance the university's reputation
  • Specialize and act as a first point of contact on matters relating to donor stewardship including Donor Stewardship Reporting Plans (DSRP) and ensure a superior level of customer service is communicated back to key stakeholders and action plans are operationalized
  • Oversee knowledge management strategies, structures and tools for stewardship and gift acknowledgement and co-ordinate their implementation and maintenance
  • Provide strategic and project management support in planning, developing, implementing and continuously improving plans, tools, structures, priorities, policies, procedures and information management relating to stewardship, and gift acknowledgement
  • Support strategic direction set by the Director, Stewardship and the Associate Director, Stewardship

Qualifications / Requirements:

  • Post-secondary education, preferably in business, administration, communications, development or a related field
  • Minimum 5 years of progressive experience, preferably providing stewardship support in a complex environment
  • Well-developed research, synthesis, analysis, writing and presentation skills, with the ability to prepare reports and recommendations
  • Strong interpersonal skills and the ability to operate with a high degree of tact and diplomacy; demonstrated ability to work well in teams
  • Demonstrated ability to support a high-impact customer-focused service environment; experience in a consulting role to clients and colleagues would be beneficial as well as experience in the negotiation of project scope and timelines
  • Advanced organizational and time management skills; ability to prioritize and complete tasks while working in an environment of multiple competing deadlines
  • Raiser's Edge database experience is highly desirable, as is the ability to use a variety of reporting and publishing tools; advanced knowledge of Microsoft Word, Excel, PowerPoint and Outlook are beneficial
  • Experience using Tableau and SharePoint systems are an asset
